Return Policy

Last updated: 19 September 2026

HVACX is an introductory platform that connects buyers with HVAC suppliers, distributors, and contractors. HVACX does not sell, hold, ship, or take possession of any products, and doesnot process payments for goods. All transactions — including purchases, returns, refunds, and warranty claims — are conducted directly between the buyer and the supplier or distributor.

HVACX's Role & Limitations

HVACX acts solely as an introductory middleman. We provide a directory and lead-generation service to help buyers discover and contact suppliers. We are not a party to any transaction between a buyer and a supplier and have no liability for:

  • The availability, condition, or description of any product
  • The acceptance, processing, or fulfilment of any return or refund
  • Warranty claims, manufacturer defects, or product performance
  • Shipping, delivery times, or damaged goods
  • Any dispute between a buyer and a supplier

Any return, refund, or warranty matter must be resolved directly with the supplier or distributor from whom the product was purchased. HVACX does not guarantee any specific outcome and has no authority to compel a supplier to accept a return or issue a refund.

Confirm Return Terms Before Purchasing

Return policies vary by supplier and distributor. Before making any purchase, buyers should confirm the following directly with the supplier:

  • The supplier's return window (e.g. 7, 14, or 30 days)
  • Which items are eligible for return and which are excluded
  • Whether the buyer or supplier covers return shipping costs
  • The refund method and processing timeframe
  • Any restocking fees that may apply
  • Warranty terms provided by the manufacturer or supplier

HVACX does not warrant that any supplier offers returns, exchanges, or refunds. The presence of a product on HVACX does not constitute a guarantee of returnability.

Typical Supplier Return Practices

The information below reflects common practices among UK HVAC suppliers and is provided for guidance only.Actual terms are set by each supplier and may differ. Always confirm with the supplier before purchasing.

Items Suppliers May Refuse to Accept

  • Refrigerants and gases (regulatory restrictions)
  • Custom or special-order items
  • Equipment that has been installed
  • Opened consumables (filters, chemicals, lubricants)
  • Items marked as "Final Sale" or "Non-Returnable" by the supplier

Condition Requirements

Most suppliers require returned goods to be unused, in original packaging, and with all accessories and documentation intact. Goods that do not meet the supplier's condition requirements may be refused or subject to a restocking fee.

Initiating a Return

To request a return, contact the supplier or distributor directly — not HVACX. You will need:

  • Your order or invoice reference from the supplier
  • Proof of purchase date
  • The reason for the return
  • Photographs if the item is damaged or defective

The supplier will advise whether the return is accepted, the return shipping address, and any applicable conditions. HVACX cannot initiate, authorise, or track returns on behalf of either party.

Damaged or Faulty Items

If a product arrives damaged or develops a fault, the buyer must contact the supplier directly and within the timeframe set by the supplier's returns policy. The supplier is solely responsible for arranging collection, replacements, or refunds. HVACX has no obligation to mediate or resolve such claims.

Warranty Claims

Many HVAC products carry manufacturer warranties (typically 1–5 years parts and labour). Warranty claims are handled between the buyer, the supplier, and the manufacturer. HVACX does not administer, guarantee, or facilitate warranty claims. Check the product listing and confirm warranty terms with the supplier before purchasing.

Contractor-Installed Equipment

Equipment that has been installed cannot be returned to the supplier. Any issues with installed equipment should be addressed under the contractor's workmanship guarantee or the manufacturer's warranty. HVACX facilitates introductions between parties but accepts no liability for the installation, the equipment, or any resulting dispute.

Consumer Rights

Nothing in this policy affects a buyer's statutory rights under the Consumer Rights Act 2015 or other applicable UK consumer protection legislation. Such rights are enforceable against the supplier or distributor from whom the goods were purchased — not against HVACX, which is not a seller or supplier of goods.

Disputes

Any dispute regarding a product, return, refund, or warranty must be resolved directly between the buyer and the supplier. HVACX may, at its sole discretion, assist with communication but is under no obligation to do so and does not act as an arbiter. HVACX accepts no liability for the outcome of any dispute.
